Black Sands Elite (“we”, “us”, “our”) manages vacation villas in Puerto Viejo de Talamanca and Cahuita, Limón, Costa Rica. This policy explains what personal information we collect when you use blacksandselitepropertymanagement.com, book a stay or contact us, how we use it, and the choices you have.

Information we collect
When you book a stay: your name, email address, phone number, billing address and country, the villa, dates and number of guests you choose, and any notes you add to your reservation.
When you pay: payments are processed by our payment provider. Your full card details are entered on the provider’s secure systems and are not stored on our website. We receive confirmation of the payment and limited details such as the amount and the last digits of the card.
When you contact us: through the “Contact Host” form, email or WhatsApp, we receive your name, email, phone number, planned dates and your message.
Automatically, when you browse: like most websites, we collect technical information such as your IP address, browser and device type, pages visited and the site that referred you. We use cookies for this purpose (see “Cookies and analytics” below).
How we use your information
- To confirm, manage and charge your reservation, including the nightly rate and cleaning fee.
- To communicate with you before, during and after your stay: booking confirmations, check-in instructions and answers to your questions.
- To prepare the villa for your arrival and coordinate with our staff.
- To meet our legal, tax and accounting obligations in Costa Rica.
- To prevent fraud and keep our website secure.
- To understand how visitors use the website so we can improve it.
We do not sell your personal information, and we do not use it for marketing unless you have asked to hear from us.
Who we share it with
We share your information only when needed to provide our services:
- Our team and villa staff, who need your name, dates and number of guests to prepare and manage your stay.
- Service providers who help us run the business, such as our payment provider, website hosting (Hostinger), email delivery and analytics (Google Analytics). They may only use the information to provide their services to us.
- Authorities, when the law requires it, for example for tax purposes or to respond to a valid legal request.
Some of these providers may store information outside Costa Rica. When that happens, we work with providers that protect it with appropriate safeguards.
Cookies and analytics
Our website uses cookies that are necessary for it to work, for example to keep your booking in the cart and complete checkout. We also use Google Analytics to measure visits and understand which pages are most useful. Google Analytics uses cookies and collects information such as pages visited and approximate location. You can block or delete cookies in your browser settings; the booking process needs the necessary cookies to work.
How long we keep it
We keep reservation and payment records for as long as Costa Rican tax and accounting rules require. We keep messages you send us for as long as needed to answer them and manage any related stay. Analytics data is kept according to Google Analytics’ retention settings. When information is no longer needed, we delete or anonymize it.
Your rights
Under Costa Rica’s Law No. 8968 on the Protection of Persons regarding the Processing of their Personal Data, and similar laws in other countries where our guests live (such as the GDPR for guests in the European Union), you can ask us to:
- Tell you what personal information we hold about you and give you a copy.
- Correct information that is inaccurate or incomplete.
- Delete your information, when we are not required to keep it.
- Stop or limit using your information, or object to how we use it.
To make a request, email rodolfo@blacksandsrealtygroup.com. We will answer within the time limits set by law. You also have the right to file a complaint with Costa Rica’s data protection agency, PRODHAB (Agencia de Protección de Datos de los Habitantes), or with the data protection authority where you live.
Security
We use reasonable technical and organizational measures to protect your information, including a secure (HTTPS) connection on the whole website. No system is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to act quickly if a problem occurs.
Children
Our website and bookings are intended for adults. Reservations must be made by a person 18 years or older. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. Significant changes will be shown on this page.
